Summary

Identify and record any risks and assumptions you make about the work you do
and track the actions that people can take to stop them becoming issues

These 'problems' (risks, assumptions and issues) can relate to one or more projects

Mitigating actions can also be viewed within each user's Personal Actions List

All users have access to view problems that are relevant to them whenever they need to

Record a Risk or Assumption
Record or update progress against any mitigating actions
Use the powerful index to find the problems you want to see

Each problem is given a title and type. It is important to track Assumptions as well as Risks ...
... e.g. a risk that your building might burn down could be an assumption that it will not

An Issue is a Risk that has ocurred, or an Assumption that has failed

Enter the problem's scope e.g. affecting one or more Projects, a Customer, the whole company etc

 

Next you describe a potential problem and the effect it will have if it is not mitigated

An Owner must be nominated to take responsibility for it and you can note when this is accepted

The Programme Manager can highlight specific problems that he/she wants to keep an eye on

 

You should then estimate the impact of the problem (from trivial to catastrophic) ...
... and the likelihood of it happening (improbable, unlikely, possible, probable)

Likelihood will be 'occurred' if it has already happened, making it an Issue

This assessment will automatically generate the relative urgency with which it should be addressed

 

Finally you should enter, and maintain, actions that should be taken to mitigate the problem

The actions will be automatically included in each person's individual action list

As actions are entered, progressed and taken, the 'Mitigated Urgency' will automatically reduce

The Mitigated Urgency is shown on the Index, showing where to concentrate effort

 

A powerful index shows every Risk, Assumption or Issue within the company

It can be restricted and sorted in various ways as shown below

Each problem will only be visible to members of projects to whom it is relevant

The Programme Manager can also restrict the list to problems that have been specifically highlighted

 

The index can also be restricted to a Project, or 'Family' of projects, or by the project hierarchy

You can then choose to add any problems at a higher level that affect your chosen project ...
... or any at a lower level that are within the scope of the level you have selected
